1. Scope
This Privacy Policy describes how Apex Consumer Solutions LLC (“Apex,” “we,” “us,” or “our”) handles personal information in connection with the public website, account-review intake, operational communications, CRM workflow records, client portal interactions, and related service administration.
This Policy does not replace disclosures in a separately signed client agreement or point-of-consent notices presented for phone, SMS, email, or payment setup.
2. Information Apex May Collect
Depending on how you interact with Apex, we may collect:
- Name
- Email address
- Phone number
- Mailing address
- Account and collection information you provide
- Consumer-provided statements, notices, and related descriptions
- Identity-verification information when needed for a file or privacy request
- Identity-theft documentation and related workflow details when applicable
- Uploaded files submitted through authorized upload channels
- Communications and call/message records related to your inquiry or file
- Appointment and callback information
- Service, task, consent, and workflow records in the CRM
- Payment and transaction metadata such as processor profile identifiers, last-four digits, brand or bank labels, billing contact details, and authorization status
- Device, browser, IP address, and security or operational logs
- Website interaction details and essential session technology needed to operate the site and authenticate staff access
The public account-review intake form is designed to collect contact and account-situation information. It is not intended to collect Social Security numbers, full banking credentials, raw card numbers, CVV, credit reports, or precise geolocation. Do not submit those credentials through ordinary website message fields.
3. Sources of Information
Information may come from:
- Consumers directly
- Authorized representatives acting for a consumer
- Website forms and attribution parameters associated with a submission
- Uploaded documents
- Phone, SMS, email, and portal communications
- Payment processors during hosted payment-method setup or related transactions
- Service providers that support hosting, messaging, storage, or operations
- Public or government records when lawfully and appropriately used for a supported workflow
4. How Information Is Used
Apex uses information to:
- Respond to inquiries
- Conduct intake and account review
- Organize and review consumer-provided records
- Prepare authorized administrative materials
- Communicate next steps
- Schedule callbacks and appointments
- Support client onboarding
- Track workflow status and ownership
- Administer payments through authorized processors

5. How Information May Be Disclosed
Apex does not sell personal information and does not casually distribute consumer files. Information may be disclosed only as reasonably necessary to categories such as:
- Website and hosting providers
- Database and infrastructure providers
- Email, phone, and SMS providers
- Payment processors
- Document and workflow providers
- Professional advisers
- Authorized referral recipients when a matter is routed with appropriate authorization
- Government, regulatory, or legal recipients when required or permitted by law
- Business-successor participants in a merger, acquisition, or similar transaction where legally permitted and subject to appropriate safeguards
6. Payment Information
When payment-method setup is offered, Apex uses Authorize.Net hosted Accept Customer / customer-profile workflows so card or bank credentials are entered on the payment processor’s hosted pages. Apex stores processor customer and payment-profile identifiers, last-four digits, brand or bank labels, billing contact details, and authorization metadata. Apex does not store raw card numbers, CVV, or full bank-account credentials in the CRM.
Do not use the general website intake form to submit card numbers, CVV, or bank-account credentials. Secure payment-method setup uses a dedicated processor-hosted flow when needed.
7. Cookies and Similar Technologies
The public website uses essential technologies needed to operate pages and forms. Staff authentication for the CRM uses a secure httpOnly session cookie. Lead-attribution values associated with marketing intake may be stored in browser session or local storage to preserve campaign context for a submission.
Apex does not currently operate advertising pixels or analytics cookies on the public website for cross-context behavioral advertising. Because the implemented technology is limited to essential/session and operational needs, this Policy does not present a separate advertising-cookie banner.
8. Sale or Sharing of Personal Information
Apex does not sell personal information. Based on the current website implementation, Apex also does not share personal information for cross-context behavioral advertising.
If that practice changes, this Policy will be updated and any required consumer choice mechanism will be provided.
9. Data Retention
Information is retained as reasonably necessary to provide services, maintain records, resolve disputes, prevent fraud, and comply with legal or contractual obligations. Retention periods vary by record type and context.
10. Data Security
Apex uses reasonable administrative, technical, and organizational safeguards designed to protect personal information. No method of transmission or storage is completely secure, and Apex does not promise absolute security.
This Policy does not claim HIPAA compliance, GLBA compliance, SOC 2 certification, PCI certification, bank-grade security, or military-grade encryption.
11. Consumer Choices and Privacy Requests
You may request access, correction, deletion, or communication-preference changes by contacting Apex. You do not need to create an account solely to submit a privacy request.

Apex may require reasonable identity verification before fulfilling a request. Where applicable, an authorized agent may submit a request on your behalf with appropriate authorization documentation. Some requests may be limited by law, security, fraud prevention, or recordkeeping obligations.
12. California Privacy Notice
This section provides additional information for California residents where applicable. Apex does not claim that any particular California privacy statute automatically applies based solely on publication of this notice.
Where applicable, California residents may have rights to:
- Know / access personal information
- Correct inaccurate personal information
- Delete personal information
- Opt out of sale or sharing of personal information
- Limit certain uses of sensitive personal information
- Non-discrimination for exercising privacy rights
Apex does not sell personal information and, based on current website tracking practices, does not share personal information for cross-context behavioral advertising. To exercise an applicable privacy right, contact Apex using the methods in Section 11. Apex does not publish fabricated request-volume metrics in this Policy.
13. Sensitive Personal Information
Documents submitted for account review or identity-theft support may contain sensitive information. Submit those materials only through authorized methods Apex provides for your matter. Do not place full payment credentials, Social Security numbers, or similarly sensitive credentials in ordinary contact-form messages unless an Apex process expressly requests a specific limited identifier through a secured channel.
14. Children
The website is intended for adults and is not directed to children under 18. Apex does not knowingly solicit information directly from minors through the public intake form. If you believe a minor submitted information, contact Apex so the record can be reviewed.
15. Third-Party Services and Links
Independent third parties—including payment processors, messaging providers, and linked websites—have their own privacy practices. Apex is not responsible for those independent practices.
16. Changes to the Policy
Apex may update this Privacy Policy from time to time. When changes are made, the effective / last-updated date at the top of this page will be revised.
